Approval Rules Based on Individual Products Currently, Approval Rules can be set up based on the following criteria:
- Submitted (or Approved) by Users/Groups
- Order total
- Cost Center
- Category
- Payment Method
- Shipper assignment
Buyer companies may wish to assign an approval rule for specific products, but not for the entire category to which the product is assigned. While the option to create an Approval Rule for one or more individual products is not specified in the criteria above, there is a way to accomplish this without assigning an entire category to an Approval Rule. Simply follow these instructions to create a category that is hidden from buyer users but contains specific products that require approval:
Set up a 'Hidden' Approval Category1. Start by creating a New Category under the Buyer Site you wish to implement this rule for.
2. Fill in the required fields. This category will NOT be visible to buyer users, so consider naming it something like "Products for Approval," or something similar.
3. Once this hidden Approval Category is created, assign the individual product(s) to it via the "Categories" assignments for each individual product.
NOTE: Do not assign this hidden Approval Category to any Buyer companies/groups/users if you do not want them to see it on the Buyer Site.
Set up the Approval Rule for the Individual Product(s)1. Navigate to the Approval Rules and Create a New Approval Rule.
2. Under "order contains item(s) in Category:" select the hidden Approval Category you just created from the drop down.
3. Once you fill the rest of the rule out, hit save.
This will trigger an approval rule for all products assigned to the hidden Approval category.
