Order Archiving

As part of our ongoing commitment to providing customers with increased reporting capability over an efficient commerce network, Four51 archives all order data older than 90 days. This data is still available, but it is held in a separate data warehouse. As a result, you can access both new and archived orders much faster.

Every order that is placed on Four51 will be initially stored in both the main database and the data warehouse. Each night, a process will move all orders older than 90 days to the data warehouse. Orders will be moved based on the earliest date listed on the order.  These dates, in the order that they are evaluated, are listed below:
  1. Date Submitted
    1. If an order has been submitted and is older than 90 days from the date it was submitted, it will be moved from the main database to the data warehouse.
  2. Date Declined
    1. If an order has been declined and is older than 90 days from the date it was declined, it will be moved from the main database to the data warehouse.
  3. Date Submitted for Approval
    1. If an order has been waiting for approval for over 90 days, it will not be moved to the data warehouse, but will instead be deleted from the Four51 system entirely.
  4. Date Created
    1. The Date Created is the date/time when the first item(s) was added to the shopping cart on the Buyer interface.
    2. If an order has not been submitted within 90 days, it will not be moved to the data warehouse, but will instead be deleted from the Four51 system entirely.
Orders residing in the data warehouse can only be accessed via order reports in the reporting section of the Four51 application. Archived orders will not show up using the order search. Once an order has been archived, it cannot be modified. If an order is accessed via order reports, the data will not be available for editing purposes.
